<p>Client is a multi-service practice who provides help to thousands of people across Connecticut each year. Their goal is to extend hope and healing to adults, children, and families whose lives have been traumatized by abuse and/or neglect in its various forms, severe family problems and mental health issues. <br>Under the direct supervision of the owner, the VA provides overall clerical and data entry support to the Clinical Staff.<br></p>
<h2><strong>Responsibilities</strong></h2>
<ul><li> Data Entry and Document Management:<ul><li>Accurately enter patient information and appointment details into our EHR software (SimplePractice).</li><li>Upload patient documents and records to the EHR system.</li><li>Update Google sheets with client program files in EHR database.</li><li>Log all phone calls, emails, and/or letters sent in client chart located in HER.</li></ul></li><li>2. Appointment Scheduling and Coordination:<ul><li>Schedule appointments for clients and therapists</li><li>Coordinate with therapists and clients to confirm appointments, address scheduling conflicts, confirm daily appointments via call or text.</li><li>Schedule new clients, obtain insurance information. Notify supervisor of new client to determine clinicians assigned to the case.</li></ul></li><li>Invoicing &amp; Receptionist Duties:<ul><li>Prepare and send invoices to clients.</li><li>Answer phone calls from referral sources, clients, community providers; connect calls to appropriate clinician.</li><li>Greet/respond to clients/professionals</li></ul></li><li>Email Management &amp; Communication:<ul><li>Manage email correspondence with promptness &amp; professionalism for inquiries from clients/therapists</li><li>Send telehealth reminder link for virtual sessions</li><li>Provide relevant information via phone communication</li></ul></li><li>Administrative Tasks/Record Keeping:<ul><li>Maintain updated client program files in EHR database through accurate data entry &amp; clerical duties</li><li>Assists with maintaining a flow of data collection ensuring records are kept up-to-date</li></ul></li><li>Reporting &amp; Communication:<ul><li>Maintain a log of daily activities/tasks; communicate end-of-shift reports/duties completed via email as well as keep log of any marketing updates on company website.</li><li>Audit once a month as well as check clinician schedules weekly for unscheduled appointments two weeks out.</li></ul></li><li>Marketing: Assist Owner with tasks related updates on company website<ul><li>Conduct research on industry trends as requested by supervisor</li><li>Assist owner in sending or faxing records per request</li></ul></li></ul>
