The Executive Assistant role performs a variety of administrative tasks, including scheduling appointments, compiling or preparing reports, booking travel, planning meetings, managing communications, supporting the Growth (Sales &amp; Marketing) Executive Leadership team. The role facilitates the effectiveness of Aledade’s Growth Executive Team through collaboration with clients and colleagues in a fast-paced environment. We are flexible with respect to geographic location, and the ideal candidate will be comfortable working remotely within the US (with a strong preference for candidates located in Eastern time zones).\n Primary Duties<ul><li>Administrative Support: Provide administrative support, including coordination of travel arrangements and itineraries; supporting onboarding and offboarding efforts of employees; preparing and submitting expense reports; coordinating logistics for meetings and special events; assisting with company events and team retreats</li></ul><ul><li>Calendar Management: Strategically manage calendars, including internal and external commitments; ensure that schedules and meeting governance are followed and respected to optimize schedules &amp; meeting conflicts are proactively resolved</li></ul><ul><li>Project Coordination and Reporting: Oversee and manage special projects, initiatives and reporting, ensuring timely completion and alignment with business objectives Maintain and monitor project timelines, deliverables, and milestones, providing regular updates to the executives</li></ul><ul><li>Communication: Prioritize and track inbound communication to assigned executives — including meeting requests, information requests, etc.</li><li>Process Documentation and Improvement: Develop and maintain standard operating procedures (SOPs) and Process Improvements for administrative tasks and responsibilities</li></ul> Minimum Qualifications<ul><li>6+ years of relevant work experience, with 3+ years of direct experience as an executive administrative assistant</li><li>Ability to work travel within the US up to 25%</li><li>Available to work across various time zones and/or non-traditional working hours on occasion, as needed</li></ul> Preferred KSA's<ul><li>In-depth understanding of executive team operations</li><li>Strategic and forward-thinking</li><li>Ability to manage complex calendars and negotiate scheduling across multiple executives&nbsp;</li><li>Excellent verbal and written communication skills</li><li>Strong organizational and time-management skills; attention to detail and problem-solving skills</li><li>Hands on experience with Google Suite preferred</li><li>Handle sensitive information with the highest level of confidentiality and discretion</li><li>Ensure compliance with company policies and procedures, particularly regarding data privacy and security</li></ul> Physical Requirements<ul><li>Sitting for prolonged periods of time. Extensive use of computers and keyboard.
