Description
Executive Coordinator to the Director
About Us
At our core, we believe in breaking down barriers and getting help to the community now. Brightways is a growing behavioral health practice built on an integrated care model, specializing in rapid access, medically informed treatment, and seamless clinical care coordination. We maintain a high standard of execution because the thousands of clients reaching out to us for care deserve timely, high-quality clinical interventions.
To allow the Director to shift focus from daily clinical operations to large-scale strategic expansion in support of the growing need for care, we are seeking an exceptionally sharp, thoughtful, and dependable healthcare operational professional who thrives in a high-autonomy, high-accountability environment.
Position Summary
The Executive Coordinator to the Director is a dedicated individual contributor who works directly and exclusively to support the Director and eliminate execution friction across our clinical operations.
This is an objective, highly disciplined execution role designed for a professional who loves working behind the scenes. Your job is to absorb complex operational follow-ups, audit dashboards for clinical and operational anomalies, and run independent payor and market research. This position reports directly to the Director, has zero direct reports, and operates outside the standard internal organizational social matrix.
Role Overview
Right now, the Director is spending 98% of their time running the day-to-day business operations and only 2% growing our care footprint. With thousands of clients and community care partners reaching out seeking rapid access to care, we need to flip those numbers. You are the operational right hand who will make that flip possible.
Your primary function is to protect the Director's time, absorb the daily operational noise, and amplify leadership capacity so the practice can scale its medically informed treatment model. To succeed, you must be comfortable operating with complete autonomy, working independently, and interacting with the broader clinical and administrative team strictly to audit data and verify task completion on the Director's behalf.
Key Responsibilities
If you are ready to be a true force multiplier for the Director and our clinical mission, please submit your resume and a brief cover letter outlining a specific project or workflow you owned and executed from start to finish.

Key Responsibilities
- Consistent Follow-Through: Drive completion of Director-assigned initiatives by verifying clinical and operational outcomes, confirming hard evidence of completion, and closing feedback loops efficiently.
- Objective Operational Audits: Proactively monitor recurring clinical deliverables, data tracking logs, and administrative workflows so the Director does not need to manage routine follow-ups.
- Data & Dashboard Monitoring: Review EHR reports and internal dashboards daily, identifying concise, prioritized anomalies with recommended next steps, and escalating issues only when materially necessary.
- Independent Project Delivery: Own and execute targeted operational projects, including regional market analysis, payor incentive program research, and the coordination of technical or operational process backlogs.
- Payor & Incentive Research: Map out payor landscapes, reimbursement patterns, and healthcare incentive opportunities (e.g., Quality Incentive Programs, Pay-for-Performance) to develop practical, data-driven recommendations for revenue capture.
- Leadership Communication: Draft razor-sharp, concise status notes, briefings, and decision memos that enable immediate action.
- Absolute Discretion: Maintain strict confidentiality and exercise uncompromising judgment when handling sensitive organizational, operational, data, and personnel information.
- Experience: 3–5 years of proven experience in healthcare project coordination, executive operations support, payor relations, or a related healthcare analytics/operations role.
- Technical & Analytical Muscle: Advanced proficiency in Excel; high comfort level auditing data dashboards and running basic queries; direct familiarity with Electronic Health Record (EHR) clinical workflows is highly preferred.
- Domain Knowledge: A practical, working understanding of healthcare payor systems, reimbursement dynamics, integrated care delivery, and behavioral health incentive structures.
- Core Traits: Exceptional written and verbal communication, and a strong sense of accountability. You possess an innate ability to distinguish "noise" from "signal," exceptional judgment about what to escalate, and the discipline to protect focused project time.
- Working Style: Highly self-directed. You thrive working as a solo operator, value objective execution over organizational networking, and are energized by a role focused entirely on data, research, and project delivery.
- Compensation: Target total compensation package up to $95,000 (base salary + performance-based bonus structure).
- Time Allocation: Roughly 60% dedicated to targeted project, market, and payor research; 40% focused on direct support and operational verification.
- Work Style & Location: 100% Remote; Individual Contributor role.
- Flawless Execution: Director-assigned deliverables and action items across the organization are consistently verified, completed, and documented on time.
- High Signal-to-Noise Ratio: Alerts, data anomalies, and updates brought to the Director are concise and accurate.
- Strategic Project Impact: Market and payor research produce clear, highly actionable blueprints that successfully advance our growth and revenue goals.
- Maximum Director Leverage: A measurable, significant reduction in the Director’s operational workload, successfully flipping their focus toward high-level strategy and expansion.
- Are a reliable finisher who finds deep satisfaction in bringing structure, clarity, and resolution to complex tasks.
- Want to be the direct catalyst that allows an integrated care model to scale and meet the rapid-access needs of thousands of waiting clients.
- Treat data dashboards as your source of truth and love digging into the details to find the story numbers tell.
- Prefer a highly autonomous role where your professional impact is measured by pure, objective delivery and data-driven results.
- Thrive working independently behind the scenes as a dedicated solo operator, focusing your communication on operational consistency and verification on behalf of the Director.
- Are a proactive self-starter who naturally anticipates needs and maps out the next bottleneck to clear without waiting for instruction.
